Yes, not only can you email all of your attendees at once through LaunchTrack, you can also text message them as well!
Email is usually the best way to contact your attendees, but sometimes text messaging is necessary when you have to send an urgent message to your attendees, like for example telling them that your outdoor event is still taking place tomorrow despite forecasts that there will be rain.
There's only one requirement to do so - You have to have collected attendees' phone numbers on your registration form. To learn how to add a Phone Number form field to your registration form, click here.
Assuming you (A) have a Phone Number field in your registration form and (B) people have already signed up, here's how you can text message them from your LaunchTrack account:
First, after logging in to your account find the event whose attendees you want to send a text message to and click the "Details" button to the right of it.
On the next page, find and click the "Send Text" button near the top. (If your event does not yet have any registrations, you will not see this button)
After clicking "Send Text", you'll see the below form for sending a text message to your attendees:
In the example above, this was a for youth athletics event and the registration form asked for both the athlete's Cell Phone Number as well as the Parent or Guardian's Phone Number, so in that case you'd be able to send a text message to one or both groups.
As you can see in the section labelled "Send to:" in the image above, you have the following options for who will receive your text message:
- All registrants : The phone numbers of everyone who has registered and is paid in full. For example, if the start time of your event changed, or you have to cancel the event due to bad weather, this is how you would tell people.
- All prospects : The phone numbers of all the people who started but never finished registering. These are very "warm" sales leads and emailing them can be a great way to boost your registrations.
- Results from report : All the people included in a Report that you previously created
Once you're done crafting your message's content in the "Body" section, click the "Send the Text Message" button at the bottom to send it to all of your selected recipients.
On the other hand, if you'd like to only send a text message to an individual registrant or prospect, you can do so from the Registration Details page for that customer.
